your tasks

  • serving as the primary contact in the office, welcoming visitors
  • coordinating with building management, managing office supplies, overseeing office maintenance tasks
  • reviewing supplier contracts regularly to ensure efficiency and cost-effectiveness
  • managing parking allocations in line with lease agreements
  • maintaining cleanliness and organization in common areas, meeting rooms, and shared spaces
  • managing administrative tasks, ordering business cards
  • organizing appointments, conferences, and meetings, including room management
  • supporting HR department
  • acting as the first point of contact for local HR inquiries
  • supporting onboarding, offboarding and employee benefits programs
  • ensuring compliance with workplace health and safety standards
  • providing support for recruitment processes
  • organizing worldwide training sessions for various entities

what we expect

  • very good English and German (both written and spoken) are required
  • excellent customer service and communication skills, with the ability to build and maintain professional relationships
  • nice to have previous professional experience (office administration, HR, customer service, assistant roles, etc.)
  • strong teamwork skills to collaborate effectively across various divisions
  • proactive attitude with a natural drive to solve problems and address office-related challenges
  • intermediate proficiency in Microsoft Office
  • effective time management, organizational skills, and the ability to prioritize tasks in a fast-paced environment
  • a commitment to continuously improving office and HR processes
  • customer-oriented mindset (both internal and external)
  • professional phone etiquette and polished communication style
